Choosing a school bus tracking system is not only about a map on a phone. You are buying a device on every bus, apps for parents and staff, installation, data and support for years. A short list of questions helps you compare sellers fairly and avoid surprises later.

Before you call any seller

Write down three things. Seller conversations go faster when you have them ready.

The 12 questions

1. What goes on the bus?

Ask what hardware is fitted: a GPS device only, or also a card reader and cameras. Ask who installs it and where on the bus it sits. For My School Ride, the Satcop India website lists a 4G GPS device on the bus, an RFID card reader on the bus handrail, and optional 4G cameras and dashcams.

2. Is it a GPS device on the bus or a phone app?

Some systems track the driver's phone. Others use a device wired into the bus. A phone can be switched off, run out of battery or go home with the driver. A fitted device stays with the bus. 3. How often does the location update?

A map that updates every few minutes is not much use at a bus stop. Ask how often the bus position refreshes. The Satcop India website says the My School Ride device sends the location about every 5 seconds to a live map for parents and the school.

4. What happens when the mobile signal drops?

Buses pass through areas with a weak signal. Ask whether the device keeps tracking and sends the data later. The Satcop India website describes fallback tracking for when the signal dips.

5. What do parents see in the app?

Ask for a live demo of the parent app, not screenshots. Check for the live bus map, pickup and drop reminders, an alert when the bus is near the stop, and support for more than one child. The My School Ride parent app shows these, and alerts parents about 2 km before the stop, as the site describes it. Ask which languages the app supports.

6. What do drivers, attendants and the school office get?

Tracking is not only for parents. Ask what the driver or attendant app shows (trip details, assigned students), what the transport manager sees, and what the school admin can do on the web. A good system cuts phone calls to the office, it does not add more.

7. Does it record attendance?

Ask whether students are counted when they board and get off, and how. With My School Ride, students tap an RFID card on the bus reader, and UHF readers can detect tags at the school gate. See RFID attendance for school buses for how it works.

8. Are cameras included or optional?

Ask whether cameras are part of the quote or an add-on, which cameras they are (road-facing dashcam, cabin dome camera or both), and where footage is kept. Cameras are optional with My School Ride, so a school can start with tracking.

9. Does the device meet AIS-140?

Ask the seller which device model you will get and what its test details are. Do not accept a vague "yes". For Satcop's AIS-140 device, the Satcop India website says it is "Designed to meet AIS 140 standards as laid down by ARAI, physically tested by ICAT for 60 days — with GPS, GLONASS, and IRNSS (GAGAN) support." 10. Who can see the data?

Student locations and attendance are sensitive. Ask who in the school can see what, how access is controlled, and how a staff member's access is removed when they leave.

11. Who installs it, and who fixes it?

Ask who fits the devices, how long it takes for your number of buses, and what happens when a device stops working. Satcop India supplies and installs the My School Ride devices on your buses. Ask any seller for the support process in writing.

12. What exactly is in the quote?

Prices are hard to compare if every seller lists different things. Ask for a written quote that lists the devices, the data plan, the apps, installation, warranty, support and GST, per bus and in total. We do not publish prices; ask for a quote for your buses.

Put the 12 questions down the side of a page and one column for each seller. Fill it in during each demo. Then look at three things: what the parents will actually see, what the school office will have to do every day, and the total cost over the years you plan to use the system.
